The Connected Business AI for Business · Perth

The AI you need is already in the software you’re paying for.

Copilot is in your Microsoft 365 licence. AI is built into Xero. Your HR platform, your CRM and your expense tools all have AI capabilities. Almost none of it is switched on.

We configure the AI you’ve already paid for, train your team to use it, and find the processes it should be running instead of your people.

Most businesses are asking the wrong question

The AI question isn’t “should we use it?”

Every business with a Microsoft 365 subscription, a Xero file and a modern HR platform is already paying for AI. The question is whether anyone has switched it on — and whether your team knows what to do with it.

The question most businesses ask

“How do we use AI in our business?”

The question that actually gets results

“Which tasks in our business involve repetitive work, manual processing, document drafting, research or summarising — that a person should never have to do again?”

You don’t implement AI. You find the work that shouldn’t exist and hand it to the tools that can do it faster, more accurately and without complaint.

What you’ve already paid for

AI that’s already in your tools

Before buying anything new, here is what you likely already have access to — depending on your Microsoft 365 licence, your accounting platform and the other tools in your stack.

Copilot for Microsoft 365 M365 Business Standard+

AI built into every Microsoft 365 app. Uses your own emails, documents and meeting transcripts as context. Not a generic assistant — it knows your business.

  • Summarise any email thread in seconds
  • Draft replies, proposals and reports from a brief
  • Recap meetings with action items and owners
  • Analyse Excel data and answer questions in plain English
  • Create first-cut presentations from a Word doc
  • Search your entire M365 environment by asking a question
Xero AI Built into Xero

AI that runs in the background across your Xero file. Reduces manual reconciliation, flags anomalies and builds a more accurate picture of your cash position without anyone having to pull the data.

  • Bank transaction categorisation that learns your patterns
  • Cash flow forecasting with shortfall alerts
  • Automated invoice matching and reconciliation suggestions
  • Anomaly detection on spending, payroll and supplier payments
  • Predictive payment timing based on debtor history
AI in your other tools Already included

Most modern business software has AI built in. The challenge isn’t finding it — it’s knowing it’s there and configuring it properly.

  • Employment Hero — AI job descriptions, onboarding, policy drafting
  • Dext / Hubdoc — AI receipt extraction and line-item coding
  • HubSpot — AI email sequences, deal scoring, call summaries
  • Fathom — AI narrative and commentary on financial reports
  • Deputy — AI demand forecasting and roster optimisation
What most businesses haven’t turned on

Six AI capabilities sitting idle in the average M365 + Xero business

Not configured

Copilot in Outlook

Summarise, draft and categorise email automatically. Most users don’t know the Copilot button exists. Training takes 30 minutes and returns an hour a day.

Not configured

Teams meeting transcription + Copilot recap

Every Teams meeting can be automatically transcribed, summarised and turned into action items. Most businesses have this off or don’t know how to turn it on.

Not configured

Xero bank rule learning

Xero’s AI builds rules from your coding patterns. Left unconfigured, someone is manually coding transactions that should be automatic.

Not configured

Power Automate AI Builder

Extract data from invoices and receipts automatically. Many businesses are still manually entering supplier invoice data that Power Automate can read and code.

Not configured

Copilot in Excel and Word

Analyse data, generate charts, write formulas and draft documents from a prompt. Requires Copilot to be activated and prompting skills to be trained.

Not configured

Cash flow forecasting in Xero

Xero’s short-term cash flow tool uses AI to project your position based on current invoices and bills. Most businesses have never opened it.

In practice

What AI actually does for a Perth small business

Not the generic case studies. Actual tasks that Perth business owners and their teams are handing to AI once it’s properly configured.

Copilot · Outlook

Weekly email triage

“Summarise everything in my inbox from the last 48 hours that needs a decision from me.” Copilot reads, groups and prioritises. Takes 10 seconds.

Copilot · Teams

Meeting summaries

You miss a client meeting. Copilot recaps it: what was discussed, what was decided, what each person agreed to do. No one has to take notes.

Copilot · Word

Proposal drafts

“Draft a services proposal for [client type] based on our previous proposals in SharePoint.” First draft in 30 seconds. You review and refine.

Xero AI

Bank reconciliation

Transactions you’ve coded before are suggested automatically. Regular supplier payments, payroll splits, tax payments — Xero learns the pattern and stops asking.

Power Automate + AI Builder

Invoice processing

Supplier invoice arrives by email. AI Builder extracts the data, Power Automate routes it for approval and posts it to Xero. No one re-types a number.

Fathom + Xero

Monthly board report

Month closes, Fathom pulls the data, AI generates a narrative commentary. You review, adjust the language and send. What used to take a day takes an hour.

None of these are experimental. They’re available now, using tools you’re already paying for, in businesses that aren’t noticeably more advanced than yours.

Being honest about it

What AI won’t do for your business

AI is not a strategy. It’s a tool. Understanding its limits is as important as understanding its capabilities.

Replace judgement

AI can draft, summarise and analyse. It cannot make the call on a difficult client situation, decide whether to accept a risk or tell you whether a business opportunity is right for your strategy. That’s still your job.

Fix a bad process

If your underlying data is inconsistent or your process is broken, AI will be inconsistent and broken at scale. Good AI configuration starts with good data and clear process design.

Work without configuration

Copilot does not deliver results the day you activate it. It needs to be trained on your context, your team needs to learn to prompt it properly, and your SharePoint needs to be structured so Copilot can find things. This takes time.

Eliminate every manual task

Some things still need a person. Complex supplier negotiations, nuanced client communications, anything requiring relationships or contextual judgement. AI handles the repetitive layer so your people focus on the parts that actually need them.

Do your thinking for you

The businesses getting the most from AI are the ones using it to handle information — not to avoid making decisions. Better information, faster. The decisions are still yours.

Stay static

AI tools update rapidly. What Copilot can do in six months will be materially different to what it can do today. The businesses that win are the ones that build AI literacy into how their teams work — not the ones that run a one-day training and move on.

How we help

We don’t sell AI. We configure it, train your team and keep it working.

We’re not an AI consultancy. We’re an accounting and business systems practice that has made AI configuration a core part of how we set up and run client stacks. Four things we do.

AI Readiness Review

We audit your current tools — M365, Xero, HR, operations — and identify every AI capability you’re paying for that isn’t switched on. You get a prioritised list of what to activate first and what it will deliver.

Copilot + M365 Configuration

We activate Copilot across your Microsoft 365 environment, configure SharePoint so Copilot can find and reference your documents, and set up the prompts and workflows your team will actually use.

Xero AI + Automation Setup

We build out your bank rules, cash flow forecasting and reconciliation patterns in Xero, and connect Power Automate to remove the manual touchpoints between Xero, M365 and your operations tools.

Training and Adoption

We train your team to prompt Copilot effectively, build the AI habits that stick, and revisit the configuration as your tools improve and your business grows. AI adoption is a process, not an event.

Find out what AI you’re already paying for.

We start with a review of your current tools and what’s switched on. You’ll leave with a clear picture of what your AI stack looks like today, what it could look like, and what it would take to get there.
